Log in with PIN code
With log in with PIN code, your staff can quickly sign in to shared devices — such as point-of-sale registers and scanners — using a personal PIN instead of a username and password. Ideal on the work floor, where several people use the same device.
How it works
A few things to know before you start:
- Unique per user: the PIN determines who logs in — you don't select a user, you only enter your PIN. That is why every PIN must be unique across all users in your account.
- 5 digits: the PIN consists of 5 digits and is set by an admin or manager in the admin environment.
- Applies organisation-wide: you activate the feature once for the whole organisation and can deactivate it again later.
- Only on approved devices: PIN login only works on devices that an admin or manager has approved once.
- For all roles: every user can be given a PIN and log in with it.
Step 1: Activate log in with PIN code
Only an admin or manager can activate this. In the admin environment, go to My account > Log in with PIN code and click Activate. From that moment the feature applies to the whole organisation. You can deactivate it again in the same place later.
Step 2: Set a PIN per user
Go to My account > Users and add a new user or edit an existing one.
Under Login method, choose how the user may log in:
- Password and PIN: the user logs in with a username and password on the platform, and with the PIN on registered devices.
- PIN only: the user can log in exclusively with a PIN on registers, scanners, and other allowed registered devices.
Then enter a unique 5-digit PIN under PIN and save the user.
Step 3: Approve the device
Before you can log in to a device with a PIN, that device must be approved once. Only an admin or manager can do this. There are two ways.
You are already logged in (as admin or manager)
Via the user menu in the top right, go to Settings > Log in with PIN code and click Approve. Give the device a recognisable name and confirm. The device is now approved.
The next time you log out or your session expires, you will no longer see the username and password screen, but the PIN login screen.
You are not logged in yet
Log in with your username and password. You will then immediately see the screen to approve the current device, where you also give the device a name.
You can also choose not to approve the device — once, or permanently using the Don't ask again checkbox:
- Decline once: the approval screen appears again the next time you log in.
- Don't ask again: the approval screen no longer appears. After that, you can only approve the device via the settings (see above).
Step 4: Log in with a PIN
Once the device is approved, you log in from then on with the PINs set for your users. If you still had a session, log out first. Because the PIN determines the user, you do not select a user — you only enter the PIN.
Step 5: Manage devices and sessions
Manage your approved devices via My account > Log in with PIN code. Note: a registered device only appears in the list after you have approved it on the device itself.
Per device, use the menu (three dots) to:
- Edit name: change the device's name.
- Revoke: revoke the device's approval; the device must then be approved again.
- Delete: remove the device entirely.
Click a device to view its details: the device ID, the status, and the sessions per device (user, IP address, and login time).
